What we collect, and why
| From | What | Why |
|---|---|---|
| Our website forms | Your name, organization, phone or email, building type and message | To reply to you |
| Our websites, only if you accept analytics | Pages viewed, device and browser, approximate location | To see which pages help people. Never for advertising |
| Customers | Account, billing and site contacts, service addresses | To provide service and invoice |
| Our telephone service | Call records (numbers, times, durations), voicemail and call recordings where you use them, the civic address of each line | To connect and bill calls, support you, and make 911 work |
| Calls and emails to us | Your number or address and our notes | To help you |
We collect only what we need for these purposes. If we want to use information for a new purpose, we ask first.
Who we share it with
We do not sell personal information, and we do not share it for anyone else’s advertising.
We use a small number of service providers, under contract, to run our business. Each sees only what its job needs:
- Microsoft 365 for email, in Canada.
- Our customer records system (Twenty), hosted in Canada.
- Our website hosting, in Canada.
- Xero for invoicing, in Canada.
- The carriers that connect your calls, which receive the call information needed to complete them.
- 911 services, which receive a line’s civic address when someone dials 911 from it.
- Google Analytics, only if you accept analytics on our websites. Google may process that information outside Canada.
We disclose information without consent only where the law requires or allows it: for example, to answer a court order or warrant, or in an emergency that threatens someone’s life, health or safety.
We do not add you to a mailing list. We send marketing email only if you have told us you want it, and every such email lets you stop it.
Cookies and analytics
Our websites set no tracking cookies unless you choose Accept analytics. Your choice is remembered in your browser. To change it, use Cookie choices at the foot of any page.
How long we keep it
| Information | Kept for |
|---|---|
| Enquiries that do not become customers | 24 months after our last contact, then deleted |
| The website’s own copy of each enquiry | 90 days |
| Customer records and invoices | For as long as you are a customer, then 6 years, as the Canada Revenue Agency requires |
| Detailed call records | 24 months |
| Voicemail and call recordings | Under your control while your service is active; deleted 30 days after it ends |
| A line’s 911 civic address | For as long as the line is active |
| Website analytics | 14 months |
How we protect it
Access is limited to the people who need it to do their work. Our systems use encrypted connections, individual accounts and current software. If a breach creates a real risk of significant harm, we will tell the people affected and report it to the privacy commissioner, as the law requires.
Your rights
You can ask to see the personal information we hold about you, to correct it, or to withdraw consent for a use that depends on it. Write to privacy@northstar.tel. We answer within 30 days.
If you are not satisfied with our answer, you can contact the Office of the Information and Privacy Commissioner of Alberta or the Office of the Privacy Commissioner of Canada.
